Who we are

What we collect

• Quote and contact forms — your name, email, phone number, company (optional), rental dates, jobsite address and anything you write in the message field. We use this to prepare your quote and respond to you.
• Chat assistant messages — what you type to the Orion Assistant is processed to generate a reply. Please don’t include sensitive personal information in chat; a name and general job description is all it ever needs.
• Analytics — standard usage data (pages visited, device and browser type, approximate location from IP, referral source) collected via Google Analytics 4 cookies (_ga, _ga_*) and Vercel’s cookieless performance analytics.
• Server logs — our hosting provider records request metadata including IP addresses, which we use for security, rate limiting and abuse prevention.
• Browser storage — your quote-builder items and chat history are kept in your browser’s session storage so they survive page navigation. This data stays on your device and is cleared when you close the tab.

Service providers we share data with

We never sell your personal information. It is shared only with the service providers that make the website work, each bound by their own privacy commitments:

• Web3Forms — delivers your form submissions to our email.
• Anthropic — processes chat messages through the Claude AI model to generate assistant replies.
• Google Analytics 4 — website usage measurement.
• Vercel — website hosting, performance monitoring and request logs.

Why we collect it

We use personal information to respond to quote and contact requests, operate and improve the website, understand how visitors find and use our services, and protect the site from abuse. We rely on your consent — implied when you use the site and explicit when you submit a form — as permitted by Canadian privacy law (PIPEDA).

Cookies & how to opt out

The only cookies we set are Google Analytics measurement cookies. You can block or delete them in your browser settings, use a private/incognito window, or install the Google Analytics opt-out add-on — the website works fully without them.

Retention

Quote and contact submissions are kept as long as needed to serve you and for our business records. Analytics data is retained per Google Analytics’ standard retention settings. Server logs are retained briefly by our hosting provider for security purposes.

Your rights

Under PIPEDA you may request access to the personal information we hold about you, ask us to correct it, or withdraw consent to our use of it. Email info@orionrental.ca and we’ll respond promptly. You may also complain to the Office of the Privacy Commissioner of Canada.

Changes

If we change this policy, the new version will be posted here with an updated effective date.
